Choose an organization name that is easily searchable

You don’t need to include “Washington State University”, “WSU”, or “at WSU”.

If your group as an acronym that you’re commonly referred to as, include that after your organization name.

Event Scheduling Best Practices

Single-Day Events: Ensure events start and end on the same day to avoid confusion about duration and availability.

Multi-Day Events: Register an event for the first day of your event, and then duplicate the event for each day that your event runs.

Clear Start/End Times: Use specific times (e.g., 3:00 PM – 5:00 PM) to help students plan.

Concise Titles: Keep event names short but descriptive.

Detailed Descriptions: Include who the event is for, what to expect, and any requirements (e.g., RSVP, dress code).
Accurate Tagging

Use Consistent Tags: Apply tags like “Leadership,” “Social,” or “Volunteer” to help with filtering.

Use Tags: Help students find events through search by including relevant Tags.

Some Tags may trigger additional event approvers like Week of Welcome or Family Weekend. These approvers are generally the committees responsible for these major events. Once your event is approved, it will populate in websites.
Visual and Branding Consistency

Use Branded Images: Maintain a consistent look across similar events. Choose photos that connect with your event.

Avoid Low-Quality Graphics: Ensure images are clear and relevant to the event.

Enable Check-In: Use the check-in feature to track attendance.

Selecting “member only check in” will limit your ability to track attendance.

Promote via Multiple Channels: Share events through email, social media, and campus screens.
Accessibility and Inclusivity

Accessibility: Ensure venues are ADA-compliant (if not be sure to note not).

Provide attendees with clear processes to request event accommodations from the event planner (for example how to request an interpreter).

Data and Reporting

Track Attendance Trends: Use analytics to see what types of events are most popular.

Post-Event Surveys: Gather feedback to improve future events.
